How to Postpone and Re-Schedule a Booking

Changing bookings to meet changing customer schedules

Mark a booking as Postponed. Allow the units and extras availability to be opened up for the original date but keep the information ready for re-scheduling.

Postpone a Booking

If you'd like to postpone an event for a customer for a later date (but don't have a confirmed date yet), navigate to your Bookings List (diary icon), click the cog icon, then Edit:

  1. Scroll down to the Admin section
  2. In the Admin Only Notes, add the reason for postponing for your future reference
  3. Update the Status to Postponed
  4. Under Assigned Staff, uncheck any staff
  5. Tick Disable Notifications if you don't want any scheduled notifications to be sent for that booking
    NOTE: All Automations need to have a condition added that says "Disabled notification" is not "false"
  6. Click Save Changes. Your booking will appear orange and be marked as Postponed in your Bookings List (screenshot below).

What Happens/ Doesn't Happen When a Booking Is Postponed?

  1. Notifications - Admin, staff and customers are NOT automatically notified when a booking is postponed.
  2. Unit Availability - Unit Availability is returned to open for the date selected on the booking.
  3. Extras Availability - Extras Availability is returned to open for the date selected on the booking.
  4. Stock Levels - Any stock items associated with a booking will NOT automatically be reallocated to available stock. This will need to be updated manually via Assets > Extras > Edit the applicable Extra, go to Quantity & Stock, update the Stock Level field.
  5. Staff Availability - staff will need to be unassigned manually form the booking before the status is set to 'Postponed'. They will no longer see this event assigned to them in their dashboard but they will NOT be notified of this change to the booking.
  6. Scheduled Notifications - you will need to edit the booking and tick Disable Notifications so the customer does not receive any future scheduled notifications.
  7. Reporting - data from Postponed bookings will not be part of the reports graphs and data.

Re-schedule a Booking

If you'd like to re-schedule a previously postponed event for a customer, navigate to your Bookings List (diary icon), click the cog icon, then Edit:

  1. Select the new Event Date
  2. Scroll down to the Admin section
  3. Update the Status
  4. Uncheck Disable Notifications if needed
  5. Click Save Changes
  6. If the Contract had been signed already, this will be indicated when clicking on the red score above the cog icon. Click View to open the already signed contract. Save a copy of the old contract (just in case!) by right clicking, then Print. Click Delete to remove the contract from the booking.
  7. Navigate back to your Bookings List, view the contract again (edit if needed), the new event date will be part of the contract and is ready for the customer to sign via their client portal.
