How to add/manage Manual Tasks - One-Off Reminders

What is a Manual Task?
Manual tasks are another way of saying 'one-off reminders'. These could be used for internal business tasks, for example, 'buy more glue and pens for guestbooks' or 'fill car with fuel before event.' Manual Tasks can be created on your Overview page when you log-in.
- Admins can add/edit all areas of manual tasks.
- Staff can add/edit tasks (depending on their admin permissions) but only for tasks that they are assigned to.
How do you add Manual Tasks?
To add a manual task, go to My Overview. (You will land on this page as soon as you log in)
- Click New Task
- Add in your task description. Here you can also add in links to websites and booking ID's (by adding the task via a booking). Make sure you click the green tick in this box to save your description.
- Assign your user/attendant. As this is a manual task, it's most likely going to relate to an upcoming booking a few weeks away, therefore you can choose the attendant for that event. Note: If more than one attendant is assigned to the same event, the attendants will only need to action that task once between them.
- Choose the task priority.
- Set the status. As you are creating the task at this stage, the status will always be incomplete (grey). The assigned user will amend this status once it is complete, for example:
On your Overview page, it will display the upcoming tasks to complete based on the due date. These will be a blend of Manual Tasks, and Auto Generated Tasks. If you add a task with no due date, it will automatically sit at the bottom of your list.
How do you manage Manual Tasks?
Where can I see my tasks?
1. Dashboard. When you log-in, you will see it on your dashboard. To get back to this page, go to Person Icon > My Overview
2. Full View. On your dashboard, click View All which can be found by the Tasks header.
How can I filter my tasks?
Go to View All on your dashboard. It will give you to view all of your upcoming tasks with the filters User / Status / Booking / Sort By / Sort Order. Then click Submit
You can choose more than one filter at a time if you want to get more specific.
How can I edit my tasks?
Whether you are on your Dashboard or View All task page, hover over the task description box and click on the pen icon to edit.
This will automatically update so an assigned attendant can see it, however they won't be notified of this change.
How can I edit who my tasks are assigned to?
Find the tasks you want to edit via your Dashboard/View All and click on the person icon within the task to choose your new attendant.
You can add multiple attendants to the same manual task; their profile icon will appear. Again, attendants will not be notified of this but it will now show on their overview task list.
How do I know what priority to choose for a task?
When you create your tasks, you will need to add a priority so your assigned attendant/s are aware of the urgency. When choosing a status, ask yourself, 'Can the event still go ahead if for some reason the task was incomplete before the booking?'
If it's a simple note to yourself you can leave it as 'none' (grey) as you can rely on the due date to show in your dashboard at the correct time.
If you want to edit the status once the task is saved, follow the same process as below.
How can I change the status of a task?
Find the tasks you want to edit via your Dashboard/View All and click on the Status column to update. If you are setting up a new task and are yet to give it a status, it will automatically assigned it to a grey box; this means 'none'.
What's the difference between adding a manual task and an auto generated task?
The main difference between the two, is that the Auto Generated Tasks save you a lot of admin time if you take a lot of bookings under the same package/unit type. It ensures all of your bookings are treated the same way and your staff can be prompted to complete tasks associated to certain booking types.
Manual tasks are more 'additional notes' which is a key feature as your tasks may not all be related to the same unit type/package. You have the ability to create an individual task for a booking ID, for example if they asked for a special request.
Manual tasks can also be used for your own personal use within your business, for example, 'renew van insurance' or 'sort payslips for attendants'.
