Names, dates and venues on a proposal come from variables, which pull details from the lead the proposal belongs to. If one shows up blank, shows its fallback text or shows the wrong value, work through these checks in order. They start with the most common cause.

1. The field is empty on the lead

A variable can only show data that exists on the lead. If the lead has no venue, Venue: Name has nothing to show.

Open the lead and fill in the missing field. The proposal updates when the customer next opens it.

This is behind most variable problems, especially for leads that were added by hand in a hurry.

2. The detail is in the wrong field

The customer’s details might be on the lead, but in a different field from the one the variable reads. For example, the venue might be typed into the notes rather than chosen in the venue field, or the date might be in a custom field rather than Event Date.

Move the detail into the right field on the lead.

3. The wrong variable was used

Check the variable in the builder. It’s easy to pick Event Type when you meant Event Name, or to use a customer variable where you wanted Proposal Recipient Name.

Click the text, remove the variable and insert the right one. Then save and publish.

4. The variable has no fallback

If the field is sometimes empty, give the variable a fallback, which is the text shown when there’s no data. “your venue” or “your big day” reads far better than a gap.

5. The name shows something odd

Proposal Recipient Name uses the name of the person the proposal is for. If it shows a company name, an email address or a nickname, that’s what’s on the lead. Correct the name on the lead.

6. The date looks wrong

Event Date and Proposal Expiry Date show the date in full, for example Friday 14th November 2026. If the date itself is wrong, check the lead. If the format looks wrong, check your business’s date and time settings.

7. The variable was typed rather than inserted

If someone typed the variable’s name as plain text instead of inserting it, it won’t be replaced. The customer will see the name exactly as typed. A real variable shows highlighted in the builder. Plain text doesn’t.

Delete the typed text, type a curly brace { and choose the variable from the list. Then save and publish.

Still stuck

Preview the proposal from the lead and compare what you see with the lead’s fields. If the lead is complete and the variable is inserted correctly but still shows blank, contact support with the lead’s name and which variable isn’t working.
