Every proposal can have an expiry date. After that date, the customer can no longer accept it. If they get in touch, you can extend the expiry and they can accept as normal.

An expiry date gives customers a reason to decide, and it protects you if your prices or availability change. An open-ended quote is easy to put off, so it’s worth setting one on most proposals.

Setting the expiry date

  1. Open the proposal in the builder.

  2. Open Configure proposal.

  3. Set the expiry date.

  4. Save, then publish.

If you set it on your template, every proposal created from the template starts with an expiry date. Check it on each proposal before you send it.

How long to give people depends on your market. A week or two works for most events. Wedding couples often need longer to talk it over, while corporate clients with a fixed event date tend to decide faster.

Showing the expiry on the page

Two variables let you show the expiry on the proposal itself:

  • Proposal Expiry Date shows the date in full, for example Friday 14th November 2026.

  • Proposal Expiry Countdown shows how long is left, for example 5 days.

A line in the hero section such as “Your date is held until Proposal Expiry Date” makes the deadline clear without sounding pushy. You can add a reminder near the Accept button too.

What the customer sees after expiry

Once the expiry date has passed, the customer can still open the proposal but can’t accept it. They’ll need to contact you.

Extending an expired proposal

  1. Open the proposal.

  2. Open Configure proposal and set a new expiry date.

  3. Save and publish.

The customer can now accept using the same link. You don’t need to resend it, but it’s polite to let them know it’s ready.

Before you extend, check that the quote is still right. If your prices have changed since you sent it, update the quote on the lead first. The proposal shows the new figures automatically.

Using expiry when you follow up

Expiry is a natural reason to get back in touch. A short message a couple of days before it expires, saying the date is still held for them until then, often gets a decision.

You’ll also be notified when a customer opens their proposal, so you can see whether they’ve looked at it before you chase.
