You can send a proposal by email or by SMS. Either way, the customer gets a link to their proposal page. Once it’s sent, you’ll be notified when they open it, so you can follow up while they’re looking at it.

Publish before you send

A proposal has to be published before you can send it. Saving keeps your changes without making them live. Publishing puts the page live at its own link. Sending gets that link to the customer.

  1. Finish editing the proposal and click Save.

  2. Click Publish.

  3. Open the drop-down at the top right and click Send.

If Send doesn’t do anything, the proposal probably hasn’t been published yet.

Sending by email

When you send by email, BoothBook uses your default New Proposal email template. The customer receives that email with a link to their proposal.

The email template is worth editing so it sounds like you. Keep it short, because the proposal page does the selling. A line about the event and a clear link is enough.

Sending by SMS

When you send by SMS, the link goes straight into a text message. Text is good for customers who’ve been quick to reply to you, or for events where they’re likely to be on their phone.

Resending a proposal

If a customer says they haven’t received it, check their email address and phone number on the lead, then send it again. The link stays the same, so any earlier email still works.

If an email still doesn’t arrive, ask them to check their spam folder, or send it by SMS instead. There’s a separate article on email delivery problems if your emails aren’t arriving in general.

Seeing if it’s been opened

Open the proposal and go to Activity. It shows:

  • when the customer opened the proposal

  • when they accepted it

  • which of your team have worked on it

You’re also notified when the customer opens the proposal. Timing matters here. Someone who opened your proposal two minutes ago is reading it right now, and a short message or a call at that moment lands far better than a follow-up three days later.

Following up

How you follow up depends on what Activity shows.

If they haven’t opened it, the problem is probably delivery or timing. Resend it, or try SMS.

If they opened it but haven’t accepted, they’ve seen the price and they’re thinking. Ask whether they have any questions, or whether one of the other options suits them better.

If they opened it and the expiry date is close, a reminder about the date being held often helps them decide.
