Payments Overview
Taking payment for your business is built to be straightforward, whether that means a customer paying you directly online or you logging something you’ve taken another way.
Ways to take payment
You can connect third party gateways, Stripe, Square, PayPal and others, and accept payment through them directly. Buy now, pay later options such as Klarna and Afterpay work the same way, enabled through a gateway like Stripe rather than needing their own separate connection.
You can also record your own manual payments, your own internal record of something taken by cash, bank transfer, or however else you’ve been paid outside a connected gateway. Manual payments have their own configuration, covered in a separate article.
How payments connect to a quote
Creating a job creates a quote alongside it, and that quote is made available to the customer, either through your booking form or through their client portal.
When a customer pays, their payment method is charged and the job updates automatically to reflect it. Every payment reduces the remaining balance, and a customer isn’t limited to paying it off in one go. Multiple payments can be made against a single quote, and you can split how you take payment into a deposit followed by the remaining balance rather than asking for everything up front.
Invoices update automatically too, so the remaining balance shown there always reflects whatever’s actually been paid.
What a customer sees if a payment fails
If a payment fails at checkout, the customer is shown a warning explaining why, rather than being left to guess or simply try again blind.
Configuring payments
Go to Settings, then Payments.
From here you control which third party methods are enabled, and add your own pay later options such as cash on delivery or bank transfer. You can also configure a surcharge for credit and debit card payments, which is not on by default, and list, edit and configure your manual payment options.
Multiple currencies
Multiple currencies are supported. This is set from your locale settings, and changing your currency there applies automatically across payments, rather than needing to be configured separately in the payments area itself.
Payments and automations
Payments can trigger automations. Whatever happens around a payment, taken, refunded, failed, can be used to kick off whatever you need, a receipt, a notification, or anything else worth automating at that moment.
Where you can see payment activity
Reports gives you the full picture, letting you track which payments have actually gone through alongside any that failed or were only attempted.
On a job itself, whether it’s still a lead or a confirmed booking, the Quotes tab shows the payments made against it, with the option to refund or delete one directly from there.
To add a manual payment, click Add and define the method, the amount and the date. To request payment from a customer instead, copy the link, which takes them straight to checkout to pay.
