How to view payment attempts and transaction history

Go to Reports, then the Payments tab.

Why this is different from a booking’s own payments list

On a booking itself, you’ll only ever see the payments that actually succeeded. This report shows more than that. It logs every payment attempt made in the system, including the ones that failed or never fully went through, not just the ones that did.

If you want the complete picture of what’s actually been attempted against a booking, rather than just what was successfully taken, this is the place to look.

What the transaction history shows

Each row shows the date, the entity the payment relates to, such as the job it was taken against, the customer, the amount, the method used, and the status. You can search, and filter by both method and status.

Status defaults to showing Completed payments.

Exporting your payment history

You can export this page as a CSV, which covers most of the ways people tend to ask for the same thing, downloading your payments, getting a spreadsheet of transactions, or pulling a report out for your own records or your accountant.

Set your date range first, using the selector in the top right, which defaults to the last 12 months. Then click Export, and you’ll get a CSV file covering that range.

Filtering by status

Change the status filter to see other outcomes instead: Failed, Pending, Cancelled, or Unknown.

Filtering to Failed is a good way to see exactly where and how often payments have been failing, rather than only finding out when a customer mentions it.

Why a payment might fail

Common reasons include insufficient funds, a blocked card, a bank block, or a fraud warning.

Some payment gateways add another layer to this. iDEAL, Klarna, and similar gateways don’t confirm instantly the way a card payment does. They can take a while to respond, and when they finally do, it isn’t always a success.

What Pending, Cancelled and Unknown actually mean

Pending usually means still waiting on a response from the gateway.

Cancelled generally means it timed out without the response ever coming back.

Unknown covers situations where the gateway involved simply doesn’t return a clear result either way.

Filtering by method

You can also filter by payment method, useful given how many are supported. This covers card gateways alongside methods like PayFast, Klarna, Afterpay, Cash on Delivery, Bank Transfer, PayPal, and Manual Payment, as well as Free. Both manual payments you’ve logged yourself and payments a customer has made are included.
