Locations Overview

Locations overview

Locations let you run more than one location under the same business or tax entity.

They are useful when you serve different areas, operate from several sites or want clients to book work through a particular location. A location does not have to be a building you own. It can be any area, branch or place your business serves.

Locations keep the parts of your business connected while still letting you control what is available at each one. You can share users, equipment and units across locations, or assign them to one specific location when that makes more sense.

What locations are for:

Use locations when the same business needs to operate in more than one place.

For example, you may serve several cities, work from different branches or offer different services depending on where the client is booking. Locations let you organise that without separating everything into different business accounts.

Each location can have its own available packages and services. At the same time, the people and resources you use to deliver those services can be shared where needed.

This gives you a clearer structure for clients and staff while keeping the business working as one operation.

Sharing units and equipment

Units and equipment can be assigned to a specific location or shared across all locations.

Assign an item to one location when it is only used there. This helps make sure the item is connected to the part of the business that uses it.

Share an item across locations when it can be used by more than one location. This is useful for equipment and units that move between areas or are available to whichever location needs them.

The choice depends on how you use the item in practice. An item that stays with one branch should usually be assigned there. An item that supports work across several areas can be shared.

Keeping these assignments accurate helps you understand which resources are available at each location.

Assigning users to locations

You can also assign users to one location or make them available across all locations.

This is useful when staff work in a single area or when they support the business more broadly. Someone who only works for one location can be assigned there, while a manager, administrator or travelling team member can be assigned to every location they need to use.

Location assignments help keep staff organised around the areas they serve. They also make it easier to work with the right people when you are managing work for a particular location.

A person can be available across locations where their role requires it. You do not need to restrict users to one location if they regularly work across several.

Packages and services by location

Locations can control which packages and services clients can see.

This is especially useful when your offering changes by area. One location may offer services that another does not, or you may use different packages depending on where the client is booking.

Set up the packages and services that should be available at each location. When a client chooses a location, they will see the options you have made available there.

This keeps the booking journey relevant to the client. They are presented with the services and packages that actually apply to the location they selected.

What clients see

Clients can choose the location they are booking with or closest to.

Once they have selected a location, they can see the packages and services available for that location. This gives them a clearer starting point and helps them choose from the options that apply to their area or branch.

For the client, the location selection should feel like choosing where they are booking from. Behind the scenes, it helps you direct the booking to the right part of your business and show the correct offering.

If your locations have the same packages and services, the experience can stay consistent across all of them. If they differ, clients will only see the options you have chosen for the location they selected.

When to use locations

Locations are useful when your business operates across more than one place but remains part of the same business or tax entity.

You may use them for:

  • Different service areas

  • Separate branches

  • Different booking locations

  • Locations with different services or packages

  • Teams, units or equipment that are either local or shared

You do not need to create a new location for every job. A location should represent a meaningful part of how your business operates or how clients choose where to book.

Start by creating the locations your clients and staff genuinely need. Then decide which users, units, equipment, packages and services belong to each location and which should be shared.
