Documents overview
A document is a file with formatted text and elements inside it, and it can be assigned to jobs, users, and a range of other entity types. On their own, documents are useful. The real power comes from document templates.
Document templates
A document template is something you build once, using variables to pull in dynamic data for whatever entity it's assigned to. Instead of writing the same document by hand every time, you set up the template and let it fill itself in.
What you can build templates for
The data type you choose for a template decides both what you can assign the finished document to and which variables are available to you while building it.
Leads and bookings are supported, along with a range of other entity types.
Jobs are a common one, a job sheet handed to staff covering the equipment they need and any instructions for running the event.
Contacts can have documents too, visible to that contact from their client portal, useful for a wide range of things you want a customer to be able to read themselves.
Venues can carry their own documents, loading information and key details staff need to know before they arrive.
Projects and reps are supported as well. For reps specifically, think guidelines on being a good rep, or instructions on how to share their links properly.
Where to go next
A separate article covers adding a document and setting one to create itself automatically. Another covers using the document editor itself, including elements, variables, generating a document with AI, and styling.
