Assign contracts to a booking

A booking can have more than one contract assigned to it.

For example, you may need a standard booking contract, an NDA and separate payment terms for the same client. These contracts can sit alongside one another in the booking. Adding one does not mean you have to remove the others.

There are two ways to make sure the correct contract is assigned. You can set a contract when a client submits a booking form, or add a contract directly to an individual booking.

Assign a contract from a booking form

Use this method when the same contract should be assigned whenever a client submits a particular booking form.

  1. Open the settings for the booking form you want to update.

  2. Open Configure.

  3. Find the After form submit section.

  4. Add the Signed Contract option.

  5. Choose the contract that should be assigned when the form is submitted.

This is useful when one booking form always needs the same agreement. For example, a form for a particular service may always require its own booking contract.

The selected contract is assigned as part of the booking form journey, so clients are directed to the correct agreement for that form.

Assign a contract to an individual booking

Use this method when a booking needs a different contract, an additional contract or a contract that was not selected in the booking form settings.

  1. Open Bookings.

  2. Find and open the booking you want to update.

  3. Click the Files tab.

  4. Click Assign.

  5. Under Contract Templates, select the contract template you want to assign.

The selected contract is then added to the booking’s files.

You can return to the Files tab whenever you need to assign another contract. This is where you can add documents that are specific to that booking, rather than applying the same document through every booking form.

Using multiple contracts

Contracts are assigned in addition to one another.

A booking may have a standard booking contract and also need an NDA, payment terms or another agreement. Assign each required contract from the Files tab.

This is helpful when different parts of a booking need separate terms. The main booking contract can cover the overall service, while another contract covers a particular requirement or client arrangement.

Set the standard contract through the booking form where possible, then add any extra documents directly to the booking. This keeps the regular journey consistent while giving you flexibility for bookings with different requirements.

Choosing the right method

Set the contract in the booking form when it should apply to every client who uses that form.

Assign the contract from the booking’s Files tab when it only applies to one booking, when the booking needs an additional agreement or when a different contract is required.

Check the Files tab before sending a client through the next stage of their booking journey. This gives you a quick way to confirm that all required contracts have been assigned.
