A lot of operators like to take a small fixed deposit when a customer books, then collect the rest closer to the event. For example, $100 at checkout, with the balance due 14 days before the event.
This guide walks through the invoice settings for that setup, including how to put the deposit and the balance on separate invoices.
What you’ll end up with
Your customer pays a $100 deposit when they book
They can still choose to pay in full at checkout if they’d rather
The balance is due 14 days before the event
The deposit and the balance are on 2 separate invoices
Set up your deposit and balance
From your dashboard, click your Profile icon, then click Settings.
Click Invoices, then Job Invoices.
Turn on Allow Deposit Payments.
Choose Fixed and enter 100 as the deposit amount.
Set the Deposit Due Date to 1 day after booking is created. Use 1 day rather than 0, otherwise the deposit option won’t show at checkout.
Turn on Create separate invoices for deposit & balance.
Set Full Balance Due Date to 14 days before booking date. The booking date is the date of the event.
Turn on Apply full balance logic to checkout if you want late bookings to be paid in full. There’s more on this below.
Save your changes.
What your customer sees at checkout
At checkout, your customer gets 2 options: Pay in Full and Pay Deposit.
If they choose Pay Deposit, they pay $100 there and then. The balance goes on its own invoice, due 14 days before the event.
Bookings made close to the event
[CHECK BEFORE PUBLISHING: this section is inferred, not tested]
If someone books less than 14 days before their event, the balance is already due by the time they check out. Apply full balance logic to checkout decides what happens then:
On: checkout asks for the full amount, because the balance is already due
Off: checkout always offers the deposit, however close the event is
If you’d rather not chase a balance a few days before an event, leave it on.
Test your setup
Make a test booking for a date more than 14 days away. At checkout you should see both Pay in Full and Pay Deposit, with the deposit set to $100.
