Cancellations: what happens when a booking is cancelled
When a booking is cancelled, it forfeits whatever it was holding. Any units, staff or other reserved items that booking had consumed are released and become available for someone else to book.
How this actually works
This isn’t tied to the word cancelled itself, it’s tied to how a status is configured.
Certain statuses on a job can be set up as a cancelled type. Move a booking into any status configured this way, and it releases its stock. Move it into a status that isn’t configured this way, even one you’ve personally named Cancelled, and nothing gets released, since it’s the configuration behind the status that actually triggers it, not the label.
Setting up which statuses release stock
This is configured from Job Management settings. Find the Core Status field, which is a list field, and when adding a new status there, you choose between a normal type and a cancelled type.
Any status set to the cancelled type will release stock whenever a booking moves into it.
Why you might want more than one
You’re not limited to a single cancelled status. It’s worth having a few, each covering a different reason a booking might stop consuming availability.
A straightforward cancelled status covers a booking that’s simply off. A separate postponed status covers one that’s paused rather than gone entirely. You can add others too, for any other situation where the booking needs to stay in the system as a record, but stop holding stock while it’s not actually going ahead as planned.
This only applies to bookings, not leads
The cancelled status type is only available on booking statuses. It isn’t an option on lead statuses, because leads don’t consume stock or availability in the first place. There’s nothing to release at the lead stage, since nothing’s been held yet.
What a customer sees
Once a booking moves into a cancelled status, it updates in your own view straight away, and it also reflects on the customer’s client portal, so they see the change on their side too rather than only in your admin.
