Which Automations Trigger do I Need?

One of the trickiest parts of setting up an automation is trying to choose which trigger to use. Firstly you should think about what it is that has happened to make this happen. 

For example: 

When someone books an event, I need to send a confirmation email to the customer.  So this would need an 'A booking is created' trigger with a schedule of 10 minutes after and an action of 'send email'.

If you are unsure which is the correct trigger for you, here is a glossary: 

Leads

A lead status is changed - When a lead form is submitted or a lead is manually added by staff.

A lead is amended - When a lead is edited and saved, even if nothing has changed.
A lead status is deleted - Although not recommended this is when a lead is completely deleted.

A lead status is changed — When a lead is moved to a different status in the pipeline.
A lead converts to booking - When a lead is converted to a booking by an admin


Bookings

A booking is created - When a booking form is submitted or a booking is manually added by staff. 
A booking is amended - Whenever a booking is edited and resaved. Even if there is no change. 
A booking is deleted - Although not recommended this is when a booking is completely deleted. 

A booking status is changed — When the status of a booking is changed.
A booking is started — This is the moment the booking fulfilment starts, the start time on the booking.

A booking is ended — This is the moment the booking fulfilment ends, the end time on the booking.

Forms

A form is submitted - When a lead form is submitted.
A form submission is updated — When a customer or staff member edits a form submission and resubmits, even if there has been no change.
A form widget is submitted — When a form embedded as a widget on an external website is completed and submitted.

Artwork Added — When a new artwork file is uploaded to a booking or lead.

Artwork Updated — When an existing artwork file is replaced or edited.

Artwork Add Comment — When a comment is added to an artwork item.

Artwork Accepted — When an artwork submission is approved by the client.

Template

A template is chosen — When the customer chooses their template through the client portal template chooser.

A template choice is deleted — When an admin has deleted a template that has been chosen so the customer can choose again.

Backdrop

A backdrop is chosen — When the customer chooses their backdrop through the client portal backdrop chooser.

A backdrop choice is deleted — When an admin has deleted a backdrop that has been chosen so the customer can choose again.

Startscreen

A startscreen is chosen — When the customer chooses their start screen through the client portal start screen chooser.

A startscreen choice is deleted — When an admin has deleted a start screen that has been chosen so the customer can choose again.

Message

A message is received — When an inbound message is received in the conversations inbox.

Venue

A venue is created — When a new venue is added to the system.

A venue is amended — When a venue is edited and saved, even if nothing has changed.

A venue is deleted — Although not recommended, this is when a venue is completely deleted.

Event

An event starts — This is the moment the event starts, the start time set on the event.

An event ends — This is the moment the event ends, the end time set on the event.

User

A user is created — When a new staff user account is created in the system.

A user is amended — When a staff user's details are edited and saved, even if nothing has changed.

A user is deleted — Although not recommended, this is when a staff user account is completely deleted.

A user requests a shift — When a staff member notifies you they are available to work through the request to work feature.

A user declines a shift — When a staff member hits decline on a job assignment.

A user accepts a shift — When a staff member hits accept on a job assignment.

A user is assigned to a shift — When an admin selects a member of staff for an event and hits save.

A user is removed from a shift — When an admin removes an assigned member of staff from an event and hits save.

A user starts a shift — When a staff member clocks in or marks their shift as started.

A user ends a shift — When a staff member clocks out or marks their shift as ended.

Contact

A contact is created — When a new contact record is added to the system.

A contact is amended — When a contact's details are edited and saved, even if nothing has changed.

A contact is deleted — Although not recommended, this is when a contact record is completely deleted.

Payment

A payment is refunded — When a payment is refunded to the customer.

A payment is deleted — When a payment record is permanently deleted.

A payment succeeds — When a customer makes a payment using a connected payment gateway and it is successfully processed.

A payment fails — When a customer attempts a payment through a connected payment gateway but it is declined or fails.

Proposal

A proposal is created — When a new proposal is generated for a lead or booking.

A proposal is viewed — When someone opens a proposal link and is not logged in to the system on the same device (customer, not staff).

A proposal is accepted — When a customer hits the accept proposal button.

A proposal acceptance fails — When a customer hits the accept proposal button but there is an error (e.g. too close to the event date or unit is no longer available).

A proposal is sent — When a proposal is sent through the proposal send function.


Task

A task is created - When a task is created either manually or via an automation.
A task is updated - When any change is made to an existing task.
A task is deleted - When a task is deleted.

A task deadline is due — The due date set on a task.
A task is completed - When the task is set to its completed status eg. Done or Completed

Rep

A rep requests a withdrawal — When a rep has requested a payment and provided their payment details through the reps dashboard.

A rep withdrawal request is paid — When an admin has marked a rep withdrawal request as paid.

Contract

A contract is signed — When the customer signs and submits a contract.

A contract is created — When a new contract is generated for a lead or booking.

A contract is updated — When an existing contract is edited and saved.

A contract is viewed — When someone opens a contract link and is not logged in to the system on the same device (customer, not staff).

A contract is deleted — When an admin deletes a contract.
