Automations: Sending an Email as an Action

BoothBook allows you to configure actions that will cause an email to send based on triggers and conditions that you choose. These could be as simple as a follow-up email to a lead or booking, or as complex as an email that only sends when certain conditions are met. For the purpose of this article we'll be using a booking as an example and sending a confirmation email to the Business Owner when it is created.

  1. From your dashboard, select the Automations icon.

  2. Click Add Automation.

  3. The Create New Automation modal will open. Enter a Name e.g A booking is created

  4. Status, choose Active from the dropdown menu.

  5. Click Create & Edit Automation.

  6. On the Workflow Tab, Click + Add Trigger.

  7. Choose A booking is created.

  8. Click the "+" button (underneath the Trigger title box) to open the Logic / Action drawer.

  9. Ensure you are on the Action tab, and choose Email.

  10. The Email drawer will open where you can edit the following :-

  11. Action Name - You can edit the name of the action. eg Send email to admin

  12. Email Account - Choose which account you want to send from, Choose System Email or Connected Email (if connected)

  13. To - use the { or âš¡ to bring up the variations available. e.g Business Email

  14. Subject - use the { or âš¡ to bring up the variations available :-
    e.g New Booking #{Event Id} : {Customer Name}

  15. Message - Configure your message with some of the following :-

    • Customer Name: {Customer Name}

    • Event Name: {Event Name}

    • Event Date: {Event Date}

    • Venue: {Venue: Name}, {Venue: Address},

  16. Click the X or click off of the drawer (to return to the workflow area) and the information will save.

  17. Click Save.
